Safe reporting for your employees and clientsMy colleagues and I at The Neutral Zone offer a third‑party safe‑reporting program for organizations that want to give employees and clients a secure way to raise workplace concerns. We set up a dedicated 1‑800 number where people can share issues they don’t feel safe reporting through internal channels. When a call comes in, we work with the caller and a designated committee within the organization to determine the best next steps. This service protects confidentiality and complements—rather than replaces—formal HR processes. Our goal is to provide a supportive, low‑barrier place for vulnerable members of an organization to voice concerns and explore their options.
Overview
It’s often hard for senior leaders to know what’s happening on the ground, especially in large organizations where managers and employees may feel pressure to present a positive picture. Creating channels for honest feedback helps leadership act in the best interests of employees, clients, and the organization as a whole. Today’s workplaces are also expected to demonstrate due diligence in providing environments that are inclusive, responsive, and free from harassment and discrimination. A Safe Reporting Program supports these values by giving everyone a protected way to be heard.
Many employees hesitate to report harmful practices for fear of retaliation, and formal reporting chains can feel inaccessible to those with the least power. Safe reporting encourages people to speak up sooner and allows leaders to build a culture of respect and accountability while reducing legal, reputational, and financial risk.

• A confidential reporting portal is available through a toll‑free 1‑800 number, dedicated email, and webpage. All information is kept strictly confidential on secure, Canadian-owned servers, and any paper records are destroyed in compliance with privacy legislation. A qualified consultant responds within 24 business hours.
• The consultant conducts an intake to hear concerns and gather any submissions, then consults with an organizational representative about available options. The Safe Reporting Program does not replace or interfere with existing organizational processes; the organization retains control over how each issue is addressed.
• Depending on the situation, the consultant may facilitate resolution or step back so another process can proceed. Recommendations may be offered, but final decisions rest with the organization.
• TNZ provides documentation as needed, including aggregate summary statistics, while maintaining privacy and confidentiality.
• Services can be adapted or expanded based on the organization’s needs.
• TNZ operates in alignment with organizational policies and with principles of due process and natural justice.
INVESTMENT
The Safe Reporting Program includes brief initial communication to clarify the service, direct callers to appropriate internal resources when needed, coach them in effective problem‑solving, and determine whether the program is the right fit. Because of this structure, a monthly flat fee—scaled to organizational size—covers administrative costs such as operating expenses, the phone line, email/webpage access, and consultant availability. Additional services are billed at a discounted hourly rate if requested.
Semi‑annual reports summarize call volumes, general themes, and resolutions. Annual contracts are standard, with the option to renew or cancel at any time.
Fees include:
- A specialized intake counsellor to respond to inquiries within two business days.
- Initial intake, triage and support to assess, defuse and plan.
- Private, neutral, off-site office space for meetings.
- Administrative expenses for phone, web and email access.
- Maintenance of current referral network for additional support.
- Information resources such as hand-outs and references
- Annual program assessment meetings with identified organizational representatives and strategy meetings as required regarding specific issues.
